Fleetio unveils AI Service Advisor to speed repairs

Fleetio has launched an open beta of a new AI feature, Service Advisor, designed to speed up and standardise decisions on fleet repair approvals.

Built into Fleetio's platform, Service Advisor provides recommendations during the service approval process, particularly for fleets handling high volumes of repair orders. Early results show assets spending 16% fewer hours in the workshop when Service Advisor guides repair decisions.

Rising maintenance costs are increasing scrutiny of approvals, as fleet managers balance budgets with vehicle availability. Fleetio cited its 2026 benchmark report, which ranks cost escalation as fleet leaders' top concern.

Approval workflow

Service Advisor reviews repair orders, assigns issue priorities, and provides guidance within Fleetio's Maintenance Shop Network, which connects fleets with participating repair shops and manages workflow between them.

The system draws on more than a decade of fleet service records, which helps provide managers with context during the approval process.

Fleetio outlined three main functions. The first is repair order assessments, aimed at making decisions more consistent when approval volumes are high and different staff members review work. The feature supports routine approvals and flags exceptions that need closer scrutiny.

The second is issue prioritisation. Service Advisor ranks issues across assets and locations and elevates more urgent items to help reduce backlogs and limit vehicle downtime when multiple repairs compete for attention.

The third is improved service history clarity after repairs are completed. Service Advisor summarises service and approval history into a narrative so managers can review what happened and confirm approvals aligned with policy.

Automation push

Service Advisor is part of a broader automation effort in Fleetio's maintenance workflow. Fleetio recently launched Smart Uploads, which uses AI to convert service invoices and receipts into structured maintenance data.

Smart Uploads aims to capture invoice details without manual entry, processing multi-page documents and extracting line items and notes.

Race Communications is among the users cited by Fleetio. The company's fleet administrator described the time saved on invoice processing.

"Before Smart Uploads, entering invoices could take me 20 minutes each, especially multi-page invoices with detailed line items," said Kristen Arnecke, Fleet Administrator, Race Communications. "Now I just drag and drop the invoice, and it automatically itemizes everything, adds notes, and even finds the vendor. I'm saving six to eight hours a week, easily."

Fleetio has not disclosed pricing for Service Advisor or detailed conditions for the open beta beyond access through customer settings. Current customers can activate the feature within Fleetio.

Product context

Fleetio sells software used by fleet operators and repair shops to manage maintenance records, repair approvals, and related workflows. Its software supports more than 8 million vehicles across over 8,000 fleets in more than 100 countries.

Fleetio also operates a network of repair shops and processes repair orders through that network, handling more than 13 million repair orders per year across 110,000 repair shops.

Service Advisor is positioned as an addition to that workflow, intended to reduce coordination during approvals and surface more context at the moment a decision is made.

Jorge Valdivia, Fleetio's CTO, described how the company sees the feature's role within its broader platform.

"We built Service Advisor to strengthen human judgment as fleet operations scale across assets, shops, and locations," Valdivia said. "Because Fleetio sits at the center of the maintenance workflow, from issue to repair to outcome, we're able to bring the right context forward, apply standards consistently, and automate much of the coordination work that traditionally slows fleets down."

"Service Advisor is a major step toward our broader vision for Fleetio to become the operational brain of the fleet, embedding intelligence throughout the system to help teams move faster, make better decisions, and operate with far greater consistency."

Fleetio plans to expand automation across maintenance tasks as more customers use the Service Advisor beta and provide feedback through the platform.
